- Organize meetings, workshops, and events — including venue identification and booking, audiovisual arrangements, coordination with external service providers, preparation of agendas and content, planning, execution, and post-event follow-up, documentation, and information management.
- Manage the purchase, contracting, receipt, and payment of goods and administrative services, and support the preparation and processing of requests related to consultants, vendors, and service providers — including TORs, contracts, administrative forms, and service requests — ensuring compliance with IDB Invest procurement and financial policies.
- Process and coordinate travel arrangements, travel authorizations (TAs), expense reports (SOEs), and other administrative payments, and guide staff on related procedures, ensuring accuracy, completeness, and policy compliance.
- Assist in document preparation, review, editing and distribution, including briefs and talking points for management, and data tables with short descriptions summarizing key information (could include budget execution).
- Collaborate on the preparation of diagnostic, strategic, and analytical inputs drawing on internal reports and institutional documents, adding, reviewing and analyzing data as requested.
- Conduct quality control of documents and data outputs and assist in creating and reviewing drafts of documents including reports, work sheets and presentations, verifying accuracy against source reports and ensuring consistency and adherence to formatting standards.
- Support the administration and processing of Technical Cooperation (TC) operations, including recording TCs in institutional systems, uploading documentation to Bank systems, processing payments for TC consultants, and reviewing consultant deliverables.
- Leverage the organization’s AI tools to automate administrative and analytical tasks, and willingness to learn continuously as technologies and the organization’s systems evolve.
